When conducting a strata inspection, we acknowledge the challenges in locating and assessing Association records due to uncertainties regarding their storage and maintenance. Management statements may disclose precise details, yet the dispersion and depth of these records remain unclear.


Associations, comprising individual strata buildings functioning as distinct entities, independently manage their record-keeping, including fire safety assessments, insurance, and compliance with maintenance and repair issues. Each building, though named individually, must address these concerns separately. Our strata inspection reports aim to uncover and analyze these unique aspects of each entity.


The focal point of our inspection lies in scrutinizing the minutes of meetings, where significant issues are traditionally documented and resolved. However, the availability of these records depends on their inclusion in the overall records. Internal meetings held by a building may not always be communicated to the strata manager, creating potential information gaps. We strive to extract information related to structural matters, repairs, and maintenance from the records, understanding that defects and related decisions often involve a series of meetings and deliberations.


Special levies, crucial for funding specific works, can only be raised at general meetings, a process integral to our strata inspection reports. The pre-2010 era saw inspections of physical records conducted in the strata manager’s office, while post-2020, remote access to electronic records has become the norm. However, the challenge persists in ensuring the completeness of records, as managers may not always provide all documents for inspection.


Our compiled strata inspection reports include curated pages of documents such as minutes of meetings, annual income and expenditure statements (up to 5 years where possible), current insurance, valuation, and fire safety certifications. We also include extracts/pages from relevant documents like capital works fund plans and building/pest/window reports.
